Which businesses need to register?
All service stations in Victoria selling fuel to the public are required to register.
Who can register to report fuel prices?
If you’re authorised to act on behalf of the business, and you can set up and manage a government business account, you can register with Service Victoria.
When do I have to register by?
All existing fuel retailers must register by 31 July 2025. If your service station starts trading on or after 31 July 2025, you need to register and report prices from the first day you start selling fuel.
What happens if I don’t register?
If you’re a fuel retailer, it’s mandatory to register to comply with the new rules. If you don’t register, Consumer Affairs Victoria may take enforcement action.
Can I get an exemption from registering or reporting prices?
No. All fuel retailers must register and report their prices to us. The only exception is if your main business is not a service station, but you still sell fuel.
Registration process and information
Will I need a Service Victoria account?
Yes. You’ll need a Service Victoria business account to register for fuel price reporting.
What info do I need to register?
You’ll need to give us details about your business including:
- business or company name
- ABN and ACN
- trading name (if applicable), street and postal address of the head office
- name, position title and contact details for the primary contact person for each of your service stations
- fuel brands and types of fuel offered at each service station
- indicate if membership may be required to purchase fuel at each station
- any other information as required.
Who can be a business contact?
Anyone authorised to manage an account with a government agency can set up a business account. If you work for a larger company, make sure you’re authorised to act on behalf of the business.
Can I register more than one person?
Yes. You need one main contact for each fuel station you add. You can also list other people who you allow to manage and report fuel prices for your business when you register.
When you register, you need to set up at least one backup contact. Like the main contact, backup contacts can:
- make changes to business details
- transfer ownership of the business account
- add or delete locations
- set prices
- delete the account
Who should be the main contact person for a fuel station?
This should be the person who usually sets the fuel prices for that station. They need to be able to make sure prices are reported correctly to us.
Can I give someone else the ability to update prices?
When you submit your fuel station details, you can give the email address you want connected to each station.
These can all be the same, or you can have different ones for different fuel stations.
Every email address will need to be attached to a Service Victoria account.
Why do you need my logo?
We use your logo as an icon on the fuel map so customers can recognise your brand easily. If you don’t provide one, we use a default icon.
My company has a lot of outlets. Can I upload all of the details at once?
Yes. When you get to the fuel station details section of the application, you can download a CSV spreadsheet template. Add all of the station details to this sheet, save it and then upload the CSV. This will import all of your data.
After registration
What happens after I apply to register?
We’ll review your registration and contact you if we have any questions. Once approved, your station will be visible on the Service Victoria app, and you can start reporting fuel prices.
How do I know if my registration was successful?
You’ll receive a confirmation email from us once your registration is approved.
What happens if my registration was rejected?
If your registration wasn’t approved, we’ll let you know why. A customer service representative will contact you to review the reason and fix any errors in your registration. You can then resubmit your application.
What happens if I don’t report prices, don’t follow the rules, don’t register?
You must register and report prices accurately to comply with the law. If you don't, Consumer Affairs Victoria may take enforcement action.
How will I know about any changes to fuel price reporting?
We’ll send important updates to the email address you registered with us. We’ll also put announcements on the Service Victoria website.
Can I change my business information after I’ve registered?
Yes. Log in to the Service Victoria business portal to update your details. You need to update any changes within 14 business days.
How do I remove a fuel station from my account?
To remove a fuel station from your business account, you’ll need to contact our support team.
How soon after applying can I start reporting prices?
As soon as your registration is approved you can start reporting prices. You must start reporting prices by 31 July 2025.
How soon after applying can I start reporting prices?
If everything checks out in your application, you should be able to start reporting as soon as we approve you. If you’re using our API, you can start reporting as soon as everything is set up.
Price reporting rules and accuracy
Can I show discounted fuel prices on my main price board?
No. Your main price board must always show the standard fuel price (the full price before any discounts). You can advertise discounts and special offers separately.
Can I submit discounted fuel prices to Service Victoria?
No. You are required to report the standard fuel price to us. This is the full price before any discounts. The standard fuel price is what the customer will be shown on the app, and it must match the price at the pump and on your main price board.
How quickly do I need to update prices on the board and report them?
Board prices must be updated at the same time as the pump. You must then report your price change to Service Victoria within 30 minutes.
How quickly do I need to report if a fuel becomes unavailable?
Within 30 minutes. If delayed by an emergency or our business portal is down, you must report as soon as you can.
What if I accidentally send you the wrong price?
You need to fix it as soon as you notice the mistake. Failure to do so may result in complaints from the public and enforcement action. You can correct the price through the API, or manually through the portal.
What happens if someone complains about my prices?
Consumer Affairs Victoria assesses price complaints from customers. They may also decide to take enforcement action for non-compliance.
Technical details and data
How will I report prices?
There are two ways to report fuel prices through Service Victoria:
Through the web portal: This is great for businesses that don’t have many outlets. You’ll be able to log in through the Service Victoria website and make your updates for each fuel station.
Through an API: You can integrate our API with your IT system for automatic updates. If you don’t know how to do this, contact your in-house IT professional, or 3rd party software vendor.
What’s an API?
An API is a way for different computer systems to talk to each other. If you already use computer software to manage pricing, you might be able to use our API to send price updates to Service Victoria.
You’ll want to talk to your IT department or your software vendor to help you set this up.
How do you protect my business data?
You can learn more about how we handle your data in our privacy and security policy. We will only share your data when necessary and permitted by law.

If you need assistance setting up fuel price reporting, first contact your in-house IT professionals or your 3rd party software vendors. If they can’t help, or the issue is on our end, you can contact us.
